
Privacy Policy
Effective: August 30, 2026 Replaces the version dated May 25, 2022.
Fortified Strength Inc. is a 501(c)(3) nonprofit youth strength and conditioning program in San Ramon, California. This policy explains what information we collect about our athletes and their families, why we collect it, who we share it with, and how you can see, correct, or delete it.
We have written it to be read, not to be survived. If anything here is unclear, ask us.
1. Who we are

2. What we collect
When you enroll an athlete. Athlete name, date of birth and gender; parent or guardian name and contact details; home address; email address; phone number; emergency contact name, phone number and relationship; and the class or membership selected. Enrollment is completed by a parent or guardian, not by the athlete.
While an athlete trains with us. Class attendance and check-in records, membership start date, and billing status for the plan you chose.
Photographs and video. Images of athletes taken during training and at competitions — see section 6.
If you contact us or join a waitlist. Your name, email address, and whatever you tell us in the message.
If you request tuition assistance. The information you provide in that request. We limit who can see it.
If you buy merchandise. Order details and shipping or pickup information.
If you donate. Donations are processed by Givebutter on their own platform under their privacy policy. We receive donor name and amount; we do not receive or store your card number.
Automatically, when you visit this website. Standard server and security information such as IP address, browser type, and pages visited. Our website host also runs its own security and performance monitoring on the site.
We do not collect Social Security numbers, driver's license numbers, government ID numbers, or biometric data. We never see or store your full card number. If we ask about allergies or a medical condition so that we can keep an athlete safe, we keep that with the athlete's record and share it only with the coaches who need it.
3. Why we collect it
To enroll athletes and run classes; to reach a parent or guardian in an emergency; to bill memberships; to fulfill merchandise orders; to send you information about your own membership and our programs; to meet our obligations as a nonprofit, including recordkeeping for grants and audits; and to keep our facility and website secure.
If you give us a mobile number, we may text you about schedules, closures and program news. Reply STOP to any message to stop, or email us. You can opt out of program news and still receive safety and schedule messages.
4. Who we share it with
We use a small number of outside service providers to run the organization. We share only what each needs to do its job:

PushPress — membership management, rosters and recurring billing

Google Workspace — forms, email and file storage
Each of these providers uses its own payment processor to handle card transactions. We never receive your full card number.
If your athlete competes, registration goes through USA Weightlifting and the organizers of each meet. Those are separate organizations with their own privacy policies, and you create your athlete's USA Weightlifting membership directly with them.
We may also share information when the law requires it, or to protect the safety of an athlete, our staff, or the public.
We do not sell your information, and we do not share it for advertising. We do not rent, trade or sell our member or donor lists.
5. Children and families
Our programs are for young athletes, and most of the people we hold information about are minors. We take that seriously.
Enrollment and account setup are done by a parent or guardian, not by the athlete. We do not ask children to provide personal information to us through this website.
A parent or guardian may review or correct their child's information at any time, and may ask us to delete it — see section 9, which explains the limited records we have to keep. That includes asking us to remove a photograph, and for photographs we will not require a reason.
6. Photographs, names and competition results
We photograph training and competitions, and we publish competition results. Because this involves your child, here is exactly what we do and how to stop it.
Results. We publish athlete names alongside competition results. Meet results are generally already public through the competition's own organizers.
Photographs. We use photographs of athletes on this website, on our social media accounts, and in program materials such as flyers, newsletters and fundraising updates.
How we limit it. For athletes under 13, we use first name and last initial on our website and social media. The exception is official competition results, which are published by the meet organizers under athletes' full names. We do not publish a minor's photograph together with their full name and the times they train.
Telling us not to. A parent or guardian can ask us at any time not to include their athlete in photographs, on social media, or in program materials. Email info@fortifiedstrength.org. We do not require a reason, it changes nothing about your athlete's participation, and you can change your mind later.
Removing something already published. Ask and we will remove it from our website and our own social media accounts within 5 business days. That applies to photographs, names, or both. We cannot control material that others have already reshared, or results published by a competition's organizers, but we will tell you who to contact.
7. Cookies, analytics and Do Not Track
This website uses cookies. When you first visit, a banner lets you accept or decline non-essential cookies by category, and you can change your choices later through the Cookie Settings link on the site.
You may also see a Do Not Sell My Personal Information link at the bottom of the page. That control is provided by our website host. We do not sell your information; the link lets you further limit what our host shares.
As of the effective date of this policy, we do not use any analytics or advertising services on this website. There is no Google Analytics, no advertising pixel, and no remarketing. We have added no third-party tracking to this site, and nothing here follows you to other websites. Our website host runs its own security and performance monitoring, described in section 2. If we ever add an analytics or advertising tool, we will update this policy before we turn it on.
Do Not Track. Some browsers can send a "Do Not Track" signal. There is no common industry standard for responding to it, so this website does not respond to DNT signals differently. Because we run no analytics or advertising trackers, there is nothing here for a DNT signal to switch off.
8. How we protect information
We limit access to member records to the staff and coaches who need them. We are working to hold tuition-assistance records separately from general membership records, with a shorter list of people who can see them.
No system is perfectly secure, and we will not claim otherwise. If a breach ever affects personal information the law requires us to report, we will notify the affected individuals, and for an athlete their parent or guardian, as California law requires.
9. Reviewing, correcting or deleting your information
Email info@fortifiedstrength.org and tell us what you would like to see, change, or have removed. For a minor, the request should come from a parent or guardian.
Before we act on a request, we may need to confirm who you are and that you are the athlete's parent or guardian.
We will confirm we received it, and respond within 30 days. If a request is complicated and we need longer, we will tell you why and when to expect an answer. There is no charge.
Some records we cannot delete on request. These include billing and donation records we keep for our accounts and tax filings; tuition-assistance records tied to grant reporting; signed waivers and attendance records; and anything connected to an injury, a safety concern, or a legal matter.
Records that relate to the safety of a young athlete are the clearest example. We may be required to keep them and to produce them, including under the rules of the sport organizations we belong to, and deleting them could remove information that a family, a coach, or an investigator needs later. We would rather explain that to you plainly than quietly keep something you asked us to delete.
If we cannot delete something, we will tell you what it is and why.
We offer this because it is the right way to handle your family's information. That also means we can keep it simple.
10. How long we keep it
We keep membership records while an athlete is enrolled and for about three years afterwards, so that families returning to the program do not have to start over and so we can meet nonprofit recordkeeping obligations. Tuition-assistance records are financial records tied to grant reporting and audits, and we keep those longer — generally seven years.
We keep signed waivers, attendance records, incident and injury records, records of any safety concern, and financial records for as long as we may need them to meet a legal, insurance, audit, tax, or child-safety obligation. For records involving a minor that can be until several years after that athlete turns 18, because a young person's right to bring a claim lasts well past their time with us. When we no longer need a record, we delete or destroy it.
11. Changes to this policy
If we change this policy we will update the effective date at the top. If a change materially affects how we handle your information, we will tell enrolled families directly rather than relying on you to notice. If we ever add an analytics or advertising service to this website, we will update this policy before we turn it on.
